1. General Preparation Guidelines

On this page, you can check the general preparation guidelines needed for the exhibition. It includes information such as exhibitor responsibilities for product protection, booth setup, electricity usage, and dismantling schedules. Please review these details to ensure a smooth exhibition experience๏ผ

1. Exhibit Protection

The Exhibition Secretariat has contracted with a security service provider to offer 24-hour security within the exhibition hall during the exhibition period and setup and dismantling. However, the final responsibility for the protection and potential loss of exhibits lies with the exhibitors. Exhibitors are advised to take precautions to safeguard any exhibits at risk of damage. Please note that the Exhibition Secretariat is not liable for any damage to exhibits resulting from natural disasters, arson, theft, or vandalism.

2. Application for After-Hours Work

The Exhibition hall usage hours during the setup and dismantling periods are from 08:00 to 20:00, and exhibitors must strictly adhere to them.
โ€ข
However, if it is unavoidable to use the exhibition hall outside the designated hours, exhibitors must submit an "After-Hours Hall Usage Application" to the on-site Exhibition Secretariat by 16:00 on the same day for security and safety management. Additional costs will apply for after-hours work.

One information desk and one chair are provided per exhibitor, regardless of booth size.

Electricity is not provided for purposes other than lighting. A separate application must be submitted if additional power is required for equipment demonstrations or other uses.

The company name sign will display text only in a standardized font. Adding logos or CI images may incur additional costs, so please confirm feasibility with the shell scheme contractor.

Logo and CI image files must be in AI format (jpg, png, and gif files are not accepted).

Exhibitorโ€™s Responsibility: Display items and interior decoration.
โ€ป Consultation tables, display stands, etc., can be rented from COEX-designated furniture and equipment rental companies (additional costs apply).

Guidelines

No additional installations outside the basic booth structure are allowed, and exhibitors may not nail or drill holes.
โ€ข
When displaying items on modular panels, use 'S' or wire hooks, which can help prevent damage to the panels and avoid restoration fees.

4. Hall A Premium Booths: Installation and Dismantling Managed by the Organizer

5. Hall A Space Only Booth: Exhibitor-Constructed (Direct Selection of Exhibition Contractor)

Provided: Only floor space is provided (1 booth size = 3m x 3m).
โ€ข
Booth Height Limit: Maximum 5m (For large corporate booths along the walls, construction up to 6M is allowed).
โ€ป For swing spaces between Halls A/B, the maximum height is 4M.
โ€ป Exceeding 5M requires structural review approval from a certified agency.
โ€ข
Exhibition setup for space-only booths must be conducted through contractors designated by COEX.
โ€ข
Contractors for space-only booths are prohibited from affixing decorations, signboards, or other items by nailing or tacking to the COEX ceiling, walls, or columns, as this may damage the building.

All booth ceilings must remain open.
โ€ข
Booth structures should be prefabricated as much as possible to allow for final touches during setup. All materials used in booth assembly must be non-combustible or treated with flame retardant.
โ€ข
Carpets for exhibition flooring should be easily removable, and no attachments may be applied to walls, floors, ceilings, or other structural elements of the exhibition hall.

Structures and equipment, including lighting fixtures, must not extend beyond the allocated booth area.

Booth Design Submission

Exhibitors with space-only booths must submit the Independent Booth Installation Application and design plans (one copy each for the floor plan and elevation view) to the Hall Manager's Office of the Exhibition Rental Team through their setup contractor.

The cover of the submitted design plans must include the booth number, exhibitor name, and design company.

Rigging (Hoist) Usage
โ—ฆ
Lightweight items, such as banners, may be installed on the ceiling in designated areas (certain sections of Hall A) after confirming the location with the EV TREND KOREA Secretariat. If approved, an application can then be submitted.

Please adhere to the following guidelines during rigging work, and complete both the online application and work notification to COEX:

For point hoist (rigging) work, do not exceed the weight load per point. If necessary, submit a structural calculation report related to point hoist (rigging) installation with the work notification to COEX.
โ–ช
The truss material used for the point hoist (rigging) must be made of aluminum alloy.
โ–ช
When attaching accessories, such as lights or moving lights, to the truss, secure them with an additional safety ring along with fixed bolts for double safety.
โ–ช
No other setup work should take place within the working radius below during point hoist (rigging) work. A safety officer (on-site representative) must be present to provide safety guidance.

An electrical contractor registered with COEX must carry out the electrical work required to operate trusses and other structures.

Double-Decker Structures
โ—ฆ
For double-decker installations, the contractor must submit a detailed structural calculation report addressing safety to COEX at least two weeks before the exhibition. When construction is finalized, an on-site inspection report must be submitted before the event begins.

If you plan a double-decker structure, please notify the Secretariat to review the necessary guidelines.

6. Exhibit Entry Dimensions

Please check your exhibits in advance to ensure they will not obstruct or get stuck at the cargo entrance.

7. Dismantling Schedule

After the exhibition ends, please ensure drawers and shelves are empty when the designated contractor collects furniture. The Secretariat is not responsible for any damage or loss incurred.

All exhibition items must be removed on the last day of the exhibition, Thursday, June 5th.

Hall A: Same-Day Dismantling (June 5 (Thu), 16:00 ~ 24:00)

8. Important Notes

โ€ข
Power tools such as compressors, welders, electric saws, electric planers, and grinders are prohibited within the exhibition hall, and painting work is limited to touch-ups only (per fire safety regulations).
โ€ข
Industrial adhesive cannot be used to install carpet on the exhibition floor. Instead, a special, easy-to-remove adhesive, such as latex glue, must be used.
โ€ข
If any damage occurs to the exhibition floor, walls, or other structures due to nails or adhesive, the exhibitor will be responsible for restoration costs.
โ€ข
Do not pour or spill water on the floor, as there are electrical facilities beneath the trench covers.
